Inbox Ledger

AI-powered invoice automation for accountants

Visit

Inbox Ledger is an AI-powered invoice automation tool for accountants, bookkeepers, and small business teams. Connect your email inbox (Gmail, Outlook, or any IMAP provider) once, and Inbox Ledger continuously scans it to capture every incoming invoice in real time — PDF attachments, images, embedded receipts, and download links. AI extracts the vendor, amount, date, currency, and line items in seconds, then syncs everything to QuickBooks, Xero, and other accounting software. You can also scan backwards through your email history to recover invoices from any past period, and upload bank statements to automatically match transactions against invoices. Email access is read-only, credentials are encrypted, and the service is GDPR-compliant. Start free — process up to 10 documents a month, no credit card required.

I manage books for a dozen small clients and the worst part of my month used to be chasing documents. "Can you send me the invoice for that AWS charge" times fifty. Connected two client inboxes here as a test. It picked up invoices I didn't know existed, including ones buried as download links inside the email body. The read-only access mattered to me, I won't put client mailboxes into anything that can send or delete. Not magic, still review everything before it goes to QuickBooks. But the chasing part is gone.

Bought this after a painful tax season. My accountant asked for all invoices from last year and I spent an entire weekend digging through Gmail search. The backwards scan thing sold me. Pointed it at my inbox, set the range to the full year, went to make coffee. Came back to a list of vendors and amounts I would never have assembled by hand. A few duplicates to clean up, sure, but compared to doing it manually? Night and day. Wish I had this a year ago honestly.

The multi-currency matching and retroactive scan are killer features for accounting teams managing international clients. Being able to connect multiple mailboxes and recover missing invoices from email history solves a massive time sink during quarter-end close. GDPR compliance baked in from the start shows you're thinking about regulated industries.

super nice we like that

The accountants I know live or die by the audit trail. If the AI mis-categorises an invoice, how easy is it to see what it did and why after the fact? That's usually the difference between tools firms trust and tools they babysit. The niche focus on accountants rather than 'everyone with invoices' is smart.
